How you'll make an impact:
This role will coordinate logistics, communications, and onsite execution for congresses, HCP customer visits, internal meetings, and other events. The Associate Specialist ensures seamless program delivery through strong organization, attention to detail, and proactive stakeholder coordination.
Provide operational and logistical support for global congresses, representing the majority of the role’s responsibilities.
Support Tier 1 congresses through nomination reporting, scheduling, registration updates, travel coordination, and onsite support.
Provide logistical support for Tier 2 and Tier 3 congresses, including vendor communication, timeline management, day‑to‑day coordination, and onsite execution as needed.
Coordinate pre‑congress logistics including travel, attendee communications, calendaring, and vendor alignment.
Support onsite congress operations such as setup, registration, issue resolution, and day‑of coordination.
Assist with post‑congress wrap‑up including expense reconciliation, invoicing support, documentation, and reporting.
Coordinate calendars, logistics, travel, communications, and stakeholder engagement for U.S. and OUS HCP customer visits.
Support travel logistics for benchmark and sales events.
Provide day‑of onsite support for internal events, special events, and select global events.
Support team administrative efforts including calendaring, travel bookings, and travel and expense support, particularly for Tier 1 congresses.
What you'll need (Required):
Bachelor's Degree 3 years of previously related work experience or equivalent work experience based on Edwards criteria Required
What else we look for (Preferred):
• Proven expertise in MS Office Suite
• Experience working in sales, marketing, or healthcare industry or equivalent work experience based on Edwards criteria Preferred
• Other: Certified Meeting Professional (CMP) Preferred Or
• Other: Certified Meeting Professional healthcare subspecialty (CMP-HC) Preferred
• Excellent written and verbal communication skills and interpersonal relationship skills
• Good problem-solving, critical thinking, and investigative skills
• Solid knowledge and understanding of policies, procedures, and guidelines relevant to strategic event planning
• Strict attention to detail
• Ability to interact professionally with all organizational levels
• Ability to manage competing priorities in a fast paced environment
• Must be able to work in a team environment with global marketing team and cross functional partners
• Ability to build productive internal/external working relationships
• Adhere to all company rules and requirements (e.g., pandemic protocols, Environmental Health & Safety rules) and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control

For California, the base pay range for this position is $68,000 to $96,000 (highly experienced).
