In this role, you will serve as a trusted operational partner, managing complex cross-functional calendars and seamlessly coordinating meetings across live, video, and conference call formats. You will hit the ground running by quickly developing a thorough understanding of team operations, culture, policies, and procedures, allowing you to anticipate needs and support the business with confidence.
From planning and executing offsite meetings to interfacing daily with other Administrators across Apple, your impact will be felt at every level of the organization. You will also be entrusted with handling highly confidential and sensitive information, processing expense reports, supporting equipment and tech lab needs, and welcoming new employees through a seamless onboarding experience. Rounding out your responsibilities, you will enthusiastically manage day-to-day team support spanning global locations.
Manage and maintain complex calendars and daily scheduling, including coordination of meetings across multiple time zones and locations, while proactively anticipating needs, resolving scheduling conflicts, and making timely, well-informed decisions in the best interest of the team and organization
Arrange and coordinate domestic and international travel, including itineraries, accommodations, and all trip logistics
Submit, track, and reconcile expense reports in a timely and accurate manner
Plan, coordinate, and execute internal events such as off-sites, team-building activities, and organization-wide meetings
Oversee vendor management for key activities including catering, transportation, and venue sourcing
Accountability for managing resources and budgets effectively, working hand-in-hand with our facilities and finance team
Serve as a daily point of contact for administrators across Apple, both domestically and internationally
Prioritize and manage a wide range of projects simultaneously in a fast-paced environment with a strong focus on detail, accuracy, and timeliness
Handle sensitive and confidential information with the highest level of integrity, discretion and professionalism
5+ years experience supporting high-level executives
Experience with administrative support including strategic calendar prioritization, event planning, travel logistics, expense reporting and project management
Experience providing high-level administrative support to executives in a dynamic, fast-paced environment
Exceptional communication, organizational, time management, and administrative skills with a solutions-oriented mindset, strong sense of urgency, and relentless attention to detail
Experience supporting VP, SVP, or C-level executives in the technology industry
Experience navigating ambiguous challenges with curiosity, adaptability, and creative problem-solving
Experience working effectively across a highly matrixed organization spanning multiple time zones
Strong negotiation and interpersonal skills with the ability to influence and collaborate across diverse teams
Genuine passion for building team culture and fostering a positive, inclusive, and productive work environment
Proficiency with Apple products, including Calendar, Apple Mail, Apple Keynote, Quip, and other productivity systems
