Job description
In this role, you work seamlessly behind the scenes to ensure leaders and their teams operate smoothly and efficiently. You are a collaborative team player with a friendly, professional demeanor, able to multitask, prioritize effectively, and take initiative in a fast-paced environment. You bring a high level of expertise, with years of administrative experience and a strong track record of supporting senior leaders.
Provide advanced administrative support to leadership, while supporting the overall needs of the broader team.
Manage complex calendars, including scheduling meetings across multiple time zones and resolving conflicts for both in-person and virtual engagements.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting.
Act as a liaison between executives and internal/external stakeholders.
Handle highly confidential information with professionalism and discretion.
Provide administrative support to the broader team, including assisting with scheduling Exec meetings, coordinating conference rooms, coordinating shipping and receiving, catering needs for high profile external guests, escorting meeting guests in and out of secured areas.
Be present on in-office days to provide hands-on, front-line support to executive leaders and the broader team, responding proactively to urgent and evolving priorities.
Collaborate with hiring managers to facilitate a seamless onboarding experience for new team members, including equipment coordination, workspace setup, and ensuring appropriate system and facility access.
Oversee team distribution lists and seating assignments, and support Facilities needs including maintenance requests, conference rooms, badge access, printers, confidential bins, and supply ordering.
Support and help execute international team visits, off-sites, and team-building events, managing logistics and ensuring smooth follow-through from start to finish.
Track and manage action items, deadlines, and follow-ups on behalf of leadership.
Coordinate cross-functional meetings and ensure alignment across stakeholders.
Ensure compliance with financial budgets and company policies, including expense reporting, P-Card reconciliation, invoice processing, and vendor coordination.
7-10+ years of relevant experience supporting executives
Excellent organization skills, with an acute attention to detail
Superior verbal and written communications skills
Able to juggle multiple tasks in a fast-paced and time-sensitive environment
Proven problem-solving abilities, while being able to anticipate change and act efficiently
Confident, able to communicate effectively with senior team members, and their assistants, across Apple
Tech savvy to support the overall team with ad hoc and daily requests
High level of integrity, able to handle confidential and sensitive information with discretion and passion for helping others
Calm, friendly, and professional demeanor at all times; a positive and approachable personality, though diplomatic when saying no
Able to graciously accept last minute requests and jump into projects (even outside your immediate scope) as needed
Proficiency with a variety of technologies and software tools — and a proven ability to pick up new ones as they arise — including Apple software - Calendar, eApproval, Keynote, Pages, and Numbers, and collaboration tools like Slack, Box and Quip
Bachelor's degree, AA or equivalent experience
